Dear [
I hope this email finds you well.
I am writing regarding my paper "[论文标题]" (Paper ID: [论文编号]), which has been accepted for an oral presentation at the [会议名称] scheduled for [会议日期].
Unfortunately, due to [简要说明原因,如:funding restrictions / a scheduling conflict / unforeseen personal circumstances], I will not be able to attend the conference in person. I deeply regret this and apologize for any inconvenience this may cause.
I have discussed with my co-authors, and [请选择一种处理方式]:
Option A(请人代讲): My colleague, [姓名] from [单位], who is a co-author of this paper, will be able to attend the conference and deliver the presentation on my behalf. I have confirmed this with him/her, and we will ensure that all materials are prepared and handed over smoothly.
Option B(申请线上报告): I noticed that the conference is offering a virtual presentation option this year. Would it be possible for me to present online? I would be happy to coordinate with the session chair to ensure minimal disruption.
Option C(撤回论文): Given that I cannot attend, I understand if the organizers prefer to withdraw my paper from the program. If this is the case, please let me know if there are any formal procedures I need to follow.
Thank you very much for your understanding. I truly appreciate the opportunity to have been included in the program, and I hope to have the chance to participate in future conferences organized by you.
Please let me know your thoughts at your earliest convenience.
Best regards,

邮件标题: Unable to attend [会议名称] due to visa issues – [论文编号/标题]
Dear [
I hope this email finds you well.
I am writing with regard to my paper "[论文标题]" (Paper ID: [论文编号]), which was accepted for presentation at the [会议名称].
Unfortunately, my visa application to attend the conference has been denied. I have appealed the decision, but the timeline is uncertain and it now seems very unlikely that I will be able to travel to [会议地点] in time for the conference.
This is deeply disappointing, as I was very much looking forward to presenting my work and engaging with colleagues at the conference. I sincerely apologize for any inconvenience this late change may cause.
I would like to explore possible alternatives. Is there an option to present my paper online? Alternatively, if my co-author [姓名] is able to attend, would it be possible for him/her to present the work? I am also open to the possibility of withdrawing the paper if that is the most convenient solution for the conference organizers.
Thank you for your understanding and support. I hope this does not affect my chance to participate in future events organized by you.
Please let me know your advice.
Warm regards,

邮件标题: Regarding your invitation to [会议名称]
Dear [
Thank you very much for your kind invitation to attend the [会议名称] taking place on [会议日期]. I truly appreciate you thinking of me.
Unfortunately, due to [简要说明原因,如:a prior commitment / teaching obligations / funding constraints], I will not be able to attend this year. I am very sorry to miss what promises to be an excellent event.
I hope I will have the opportunity to participate in a future conference organized by you. Please keep me informed about upcoming events.
Thank you again for the invitation, and I wish you and the organizing committee a very successful conference.
Best regards,

Dear [
I am writing regarding my registration for the [会议名称], scheduled for [会议日期]. My registration confirmation number is [注册号].
Unfortunately, due to [简要说明原因,如:an unexpected family emergency], I will no longer be able to attend the conference. I understand that this is very short notice, and I sincerely apologize for any inconvenience this may cause.
I have reviewed the conference's cancellation policy and understand that refunds may be subject to certain conditions. Could you please advise me on the procedure for cancellation and whether any refund of the registration fee would be possible at this time?
If a full refund is not possible, I would be happy to consider other options, such as transferring my registration to a colleague or receiving conference materials in lieu of attendance.
Thank you for your understanding and assistance. Please let me know the next steps.
Sincerely,

Today I'm presenting on behalf of my colleague [你的姓名], who unfortunately couldn't attend due to [简要原因]."
I was very sorry to miss your talk at [会议名称]. I've been following your work on [研究方向] and would be very interested to learn more about your recent findings. Would it be possible to share your presentation slides or a related paper?"
I hope to have the opportunity to attend your future conferences in person."
